Instructions For Using The Town of Vail’s ePay Website

The ePay website portal allows you, the taxpayers for the Town of Vail, 24-hour access to sales and use tax information.

Your browser must be configured to accept cookies to conduct business on the site. Most browsers default to accept cookies. The site uses temporary cookies that will expire after 20 minutes of browser inactivity. Check your browser's help for information on cookies.


FIRST TIME LOGIN

 

First Time Log in

To use the online sales tax filing system, you must first have your Customer ID Number (Sales Tax Account Number) and Password (for the first time log in, this will also be your Sales Tax Account Number). Your Sales Tax Account Number is located on the top left hand corner of your sales tax remittance forms. If you cannot locate your account number, please contact Gary Hartley at ghartley@vailgov.com or 970-479-2324 or Sally Lorton at slorton@vailgov.com or 970-479-2125.

1. Click on the Login Tab

 

2. Enter your Customer ID (Account Number) and Password (Account Number *for first time only) and select "Login".

 

3. You will be prompted to enter an email address in order to receive a new password for access to the system. This will be your permanent password unless you choose to change it within the site using the "Change Password" button. Once you receive your new password via email, you must exit out of the internet, re-open and then log in using the new password.

FILE AND VIEW RETURNS ONLINE

 

File and View Returns

To view and file sales tax returns for your account, select the "File and View Returns" button from the menu on the left side of your screen. This will provide a list of all historical returns (dating back to 2009) and the most current month coming due. Tax return forms for the current reporting period will be available on the first of the month. For example, August tax returns which are due to the town by September 20th will be available on this site by September 1st.

 

Identify the return you would like to file and pay. Returns noted as "Entry Reqd" have not been filed, and returns noted as "Closed" have been filed and there is no amount due on the return. Returns noted as "Due" have been filed and there is an amount due on the return and you may pay the return at this time.

To file a return:

1. Select "Details" on the return you would like to file. After reading the information at the top of the screen, begin entering the information for your return. NOTE: you must enter a value in each field leaving no fields blank.

2. Once you have entered the sales tax information, select "Submit". You will be able to review your return once more before you confirm the return. After you select Submit, you will have an opportunity to edit the return. This screen allows you to make any necessary changes to the return before it is confirmed.

3. To make changes to the return, select "Edit". When editing a return, all prior information that has been entered is removed and you will have to re-enter all fields.

4. If the return information is accurate, select "Confirm". IMPORTANT: Once you select Confirm, you are no longer able to make changes to your return. If you find there were errors, you must file an amended return via the mail.

Your return has been successfully filed. You will automatically be returned to the screen listing all of your returns. The return you just filed will be noted with the option to "Pay". Select "Pay" and the return will be marked for payment. Next select "Pay Bills Page" at the top of the screen or select "Checkout" from the main menu to proceed with payment.

 

To file a ZERO return:

1. Select "Details" on the return you would like to file. After reading the information at the top of the screen, begin entering the information for your return. NOTE: you must enter a value in each field leaving no fields blank.

2. Once you have entered the sales tax information, select "Submit Zero Return". You will be able to review your return once more before you confirm the return. You will still have the opportunity to edit your return by selecting "Edit".

3. If the return information is accurate, select "Confirm Zero Return". IMPORTANT: Once you select Confirm, you are no longer able to make changes to your return. If you find there were errors, you must file an amended return via the mail.

Your return has been successfully filed. You will automatically be returned to the screen listing all of your returns. The return you just filed will be noted as "Closed" with no amount due on the return.

PAY RETURNS

 

Pay Returns

The Town of Vail accepts online payment in the form of an electronic check, also known as an "ACH". Credit cards are not an accepted form of payment.

To pay a return (or multiple returns with a single payment), click "Select Returns to Pay". You will see a list of returns and amounts due on returns.

1. Mark the returns to pay by placing a checkmark in the Pay column and enter the amount you are paying for the selected return.

2. Click "Checkout" to calculate total payment and proceed to checkout. You will see another screen confirming the returns and amount you will pay.

3. Click "Abort Payments" to abort transactions and return to the Town of Vail Epay greeting page where you can start over.

4. Select the Payment Method "Colo" in the drop-down box.

5. Click "Submit payment" to proceed. Another web page will appear and you can select "Submit Payment" to continue or "Abort Payment".

6. Click "Edit Items" to add, remove or change payments.

7. Once you select Submit, you will be re-directed to the Colorado.gov website for payment processing.

 

The Town of Vail utilizes Colorado.gov to process online payments. You may pay by electronic check, or "ACH" only. Credit cards are not an accepted form of payment.

Fees: Colorado.gov charges a $1.00 fee for each Electronic Check transaction.

8. The only payment method available will be: "Electronic Check". Enter your account type (personal checking, business checking, etc). and re-enter to confirm.

 

9. Click "Continue" to confirm payment (or "Cancel" to cancel the transaction).

10. Enter account holder information relating to the bank account being used for payment.

 

Next hit "Continue" or "Cancel". The next screen to appear will confirm your payment information.

11. Verify your payment information. Click "Continue" to confirm payment (or "Cancel" to cancel the transaction). The total amount to be paid will include the $1 transaction fee.

12. Select "Agree/Continue" or "Disagree/Exit".

If desired, print a copy of the "Transaction Complete" page for your records. You will also receive a confirmation email for your transaction.

View/Change Personal Account Information

To make changes to your personal information, select "Change My Account Information" from the main menu within the epay.vailgov.com greeting page (after logging in).

Once you make changes to your personal information, select "Submit" and your information will be updated. An email will be sent to the email address on file.

CHANGE PASSWORD

 

Change Password

You may change your password at any time from the "Change Password" menu option. Upon selecting that menu option, you will be prompted to enter your current password and the new password you would like to change it to. And email will be sent to the email address on file.

LOGGING OUT OF SYSTEM

 

Logging out of the System

To log out of the system, select "Log Out" from the menu options. You will be given the opportunity to submit suggestions or comments to the Town of Vail Sales Tax staff.

You MUST select either "Send Comments & Logout" or "No Thanks, I’m Done" to be fully logged out of the system.

After 20 mintues of inactivity, you will be automatically logged out.
